How to write a job estimate

  1. 1

    Add your business

Enter your business name, contact details and logo so the estimate looks professional and the client knows who it is from.

  2. 2

    Add the client and job

Enter the client’s name and address, and describe the job so everyone agrees on what is being priced.

  3. 3

    Price the work

List materials and labour as separate lines with quantities and rates. Add tax or a discount if it applies; the total updates as you type.

  4. 4

Set how long it is valid

Choose a valid-until date, such as 30 days, so prices are not held open forever.

  5. 5

    Send it, then convert it

Download the PDF and send it. When the client accepts, turn the estimate into an invoice in one click.

What is an estimate?

An estimate tells a client what a job is likely to cost before any work starts. It helps them decide whether to go ahead, compare you with other providers and plan their budget. For you, it sets expectations early and avoids awkward conversations when the invoice arrives.

A good estimate is specific about what's included, honest about what could change the price, and clear about how long the price holds.

What to include in an estimate

  • Your business details and logo, so the estimate is easy to trust and to find again.
  • The client and job address, plus a short description of the job.
  • Itemised costs: materials, labour, equipment and any subcontracted work as separate lines.
  • Tax, shown separately so the client sees the full price.
  • A valid-until date: prices for materials and time don't stay fixed forever.
  • Terms: what's excluded, deposit requirements and how changes to the job affect the price.

How to price a job accurately

  1. Visit or measure first where you can. Most estimates go wrong at this stage.
  2. Price materials at today's cost, including delivery and waste.
  3. Estimate labour in hours, then multiply by your rate, not the other way round.
  4. Add a contingency line for jobs with unknowns, such as old wiring or hidden damage, and explain it.
  5. Keep a copy. Your draft is saved in this browser, so you can reopen it and adjust it for a similar job.

Estimate vs invoice

An estimate comes before the work and says what it will probably cost. An invoice comes after and asks for payment for what was delivered. Once a client accepts your estimate, there's no need to retype anything: convert it into an invoice in the free invoice generator and adjust it for any changes to the job.

Need a firm price instead? Send a fixed-price quote. For the job itself, a work order lists the materials, labour and schedule. Before you price, check your numbers with the markup calculator and the profit margin calculator.

Frequently asked questions

Is the estimate generator free?

Yes, completely. Create and download as many estimates as you like with no signup and no limits. OZO is funded by ads on the website, never on your documents.

What is the difference between an estimate and a quote?

An estimate is an informed guess at the likely cost, which can change if the job changes. A quote is usually a fixed price the client can accept as it stands. Many trades use the words interchangeably; say clearly on the document whether the price is fixed.

How long should an estimate be valid?

Thirty days is common. Use a shorter period if your material costs change often. OZO marks an estimate as expired after its valid-until date, so you know to re-check prices.

Can I turn an estimate into an invoice?

Yes. Use “Convert to invoice” and OZO creates an invoice with the same client, items and prices, ready for you to adjust and send.

Is an estimate legally binding?

Generally an estimate is not a binding contract, but rules vary by country and trade. If you need a binding agreement, add clear terms and ask the client to sign, or use a written contract alongside it.

Can I add materials and labour separately?

Yes. Add each material and each block of labour as its own line with a quantity and rate. Clients trust itemised estimates more than a single lump sum.
