What is a purchase order?

A purchase order is how a business places a formal order with a supplier. It fixes the items, quantities, prices and delivery terms in writing before anything ships, which avoids disputes and makes the supplier's invoice easy to check.

What to put on a purchase order

  • A PO number that suppliers can quote back to you.
  • Buyer and vendor details, plus the ship-to address if it differs from yours.
  • Items with SKU or part number, quantity and unit price.
  • The delivery date, shipping method and any delivery instructions.
  • Terms: payment terms, what happens if goods are late or wrong, and who to contact.

Purchase order vs quote

A supplier sends you a quote to offer a price; you reply with a purchase order to accept it and place the order. Put the supplier's quote number in the reference field so both documents can be matched.

On the other side of the deal, your supplier confirms the order with a sales order and ships it with a packing slip.

Frequently asked questions

What is a purchase order?

A purchase order (PO) is a document a buyer sends a supplier to order goods or services. It lists what you want, how many, at what price and when and where it should be delivered. Once the supplier accepts it, it is a binding order.

What is the difference between a purchase order and an invoice?

You send a purchase order when you buy, before delivery. The supplier sends you an invoice afterwards, asking for payment. The PO number usually appears on the supplier’s invoice so the two can be matched.

Why use purchase order numbers?

PO numbers make every order traceable. Suppliers quote them on delivery notes and invoices, which makes checking deliveries and approving payments much easier. OZO numbers your POs automatically (PO-0001, PO-0002…).

Can goods be delivered to a different address?

Yes. The ship-to address starts as your own, and you can change it to any site, warehouse or customer address.

Is the purchase order generator free?

Yes. Create and download unlimited purchase orders with no signup.
