How to write a quote

  1. 1

    Add your business

Enter your business name, contact details and logo so the client knows exactly who the quote is from.

  2. 2

    Add the client and project

Enter who the quote is for and a short project reference, such as “Office fit-out, 2nd floor”.

  3. 3

    Price every item

List each product or service with its quantity and fixed price. Add tax or a discount; the quoted total updates as you type.

  4. 4

Set how long it is valid

Pick a valid-until date. After it passes, OZO marks the quote as expired so you know to re-check prices.

  5. 5

    Send it for signature

Download the PDF and send it. The client signs the acceptance section, and you convert the quote into an invoice in one click.

What is a quote?

A quote (or quotation) tells a client the exact price you will charge for a defined piece of work. It lets them compare offers and approve the spend, and it protects you: everyone agrees the scope and price before anything starts.

What to include in a quote

  • Your details and the client's, with a project reference both of you will recognise.
  • A clear scope: list each deliverable or product as its own line.
  • Fixed prices, quantities, tax and the quoted total.
  • A valid-until date, so the price isn't held open forever.
  • Terms: what is excluded, payment stages and how changes are handled.
  • An acceptance section for the client's signature. OZO adds this for you.

Quote vs estimate vs proforma invoice

Use a quote when the price is fixed and you want a signature before you start. Use an estimate when the final cost depends on what you find on the job. If the client needs a bill-like document to arrange payment or customs before delivery, send a proforma invoice. After the work is done, any of them can become an invoice without retyping.

Offering a deal? The discount calculator shows what a discount really costs you, and the markup calculator and VAT calculator help you set the price. Once a quote is accepted, confirm the details with a sales order.

Frequently asked questions

What is the difference between a quote and an estimate?

A quote is a fixed price: once the client accepts it, that is what they pay for the work described. An estimate is an informed guess that can change as the job unfolds. Use a quote when you can price the work exactly.

Is a signed quote legally binding?

In many countries an accepted quote forms a contract for the work and price it describes, but the rules vary. Describe the scope clearly, say what is not included, and keep the signed copy.

How does the client accept the quote?

Every quote has an acceptance section with space for the client’s name, signature and date. They sign it and send it back, and you mark the quote as accepted, or convert it straight into an invoice.

Can I turn an accepted quote into an invoice?

Yes. “Convert to invoice” creates an invoice with the same client, items and prices and marks the quote as accepted. Adjust anything that changed, then send it.

Is the quote generator free?

Yes. Create and download as many quotes as you like with no signup, no watermark fee and no limits. OZO is funded by ads on the website, never on your documents.
