An invoice for professional services

Consulting invoices are usually checked against an engagement letter or purchase order, so they need to be precise: the period covered, the rate agreed, and expenses kept apart from fees. This template starts with that structure, with a retainer, hourly work and expenses on separate lines.

Using this template

Change the retainer month, the hours and the rates to match your engagement, and delete the lines you don't need. Add the client's PO number if they gave you one. Your details and design are saved in this browser, so next month's invoice takes a minute.

Keep billing predictable

  • Invoice retainers in advance, on the same day each month.
  • Bill overages promptly rather than letting them build up into a surprising total.
  • Track what is outstanding. Note each invoice number and due date, and follow up as soon as one passes.

Proposing a new engagement? Send an estimate with the scope and fees, then convert it into your first invoice.

Frequently asked questions

How should consultants invoice a retainer?

Invoice the retainer at the start of each period with the month in the description, such as “Advisory retainer: October”. Bill any work beyond the retainer as separate hourly lines.

Should I include a timesheet with a consulting invoice?

For hourly work, many clients expect a summary of dates and hours. You can list sessions as separate lines on the invoice or offer a summary on request, as in the example notes.

How do I bill expenses as a consultant?

Add each rebillable expense, such as travel or accommodation, as its own line at cost, and keep the receipts. Agree in advance which expenses the client will cover.

What if the client needs a PO number on the invoice?

Add the purchase order number in the invoice details. Large companies often reject invoices without one, so ask for it before you send.
